A closer look at the AI apps and platforms that make daily tasks easier and faster
With the rise in AI tools, there is no looking back at an era where everything was done manually. Current workflows need to be adapted to suit the modern era of office work, co-existing with AI. Instead of fighting back, we shall embrace it, leveraging it to help us complete our daily tasks and needs efficiently.
I tried quite a few AI tools and settled on the following tools that fit all my requirements for my daily office work, which may suit you as well.
Perplexity AI
Perplexity AI Home page |
Perplexity is my most favourite tool when it comes to using AI. Although it's a wrapper around several AI models, including ChatGPT, I like to use Perplexity more than any other tools available. This is influenced by the UI/UX, writing style, ability to research and find content out of several PDF documents that I had to do manually otherwise. Now, I can just feed the tool with all the PDF documents that I need to analyze, ask questions about them to immediately find the required answer. Perplexity also provides 3 pro searches every day, which I utilize for research on topics that require browsing several webpages, consuming several man-hours of work.
It is one of the best tools for researching and analyzing any data in your day-to-day life. This tool has helped me reduce the time spent on analyzing loads of documents in a single click, allowing me to focus on gathering knowledge rather than finding where the information is located.
Grammarly
Grammarly AI Assistant App |
I use Grammarly to fine-tune my writing to improve the clarity and tone of my writing. Although the tool existed even before the mass adoption of AI, now Grammarly offers features to generate and rewrite sentences, enabling us to expedite the writing process. As a foundational tool for writing, with the availability of extensions and add-ons for the Microsoft Office Suite, this tool provides an easy and effective way to check your writing on the go, instead of switching between a web browser and a Word document.
Google Gemini
Google Gemini running on Flash 2.5 model |
Gemini is a tool that I started embracing very recently. Although I've used it for only a short time, it showed signs of use cases that might make me switch completely from Perplexity to Gemini. All the power of doing research and analyzing information from a document, along with other capabilities provided by Perplexity, can be done through Gemini 2.5 Flash. Generating images is one of the major advantages that Gemini has over Perplexity under the free tier. This automatically makes it the best tool for those searching for an ad hoc tool but who do not like to stick with it. The one major disadvantage I noticed with Gemini is that it takes too long to analyze a given PDF, whereas this can be done quickly in Perplexity. However, this disadvantage applies only to free tier users, as pro subscribers will be able to perform these tasks quickly and with ease.
The tools I have used other than the above three are Microsoft Copilot, ChatGPT, Deepseek, and Anthropic Claude. Even though these tools might have the capability to perform the same tasks, I never felt at home. Also, most of the important features are held back behind a paywall, including those that these companies promote through their ads. Even to test out those features, we need to submit our credit card details. I have said goodbye to these tools until there is a massive change in their usability. I'm eagerly looking forward to trying other tools that might come up later in time.
In Summary
We humans are at the center of every company. There is no harm in adapting AI to improve our work. The entire world is panicking about whether AI is going to erase our jobs in the upcoming years. I would say, it completely depends on how we use AI, upskilling, and reskilling to perform certain tasks in a completely automated way using AI. In my understanding, people who fail to adapt themselves to this AI era will be replaced by those who approach it with an open mind.
